Office Administrator

You are the first point of contact – the face and voice of Allied Telecom Group. You will welcome visitors and take calls in a warm and professional manner.


You will appreciate the importance of reception and the significance of being at the forefront of a successful business. You will also act as the Office Manager in ensuring the smooth and efficient running of the office and all ancillary operations.


You are responsible for overall office administration activities including the reception area, mail, office and kitchen supplies purchasing and oversight of the office facilities.


Key Responsibilities       


  • Responsible for overall front office activities including the reception area, mail, office and kitchen supplies.
  • Responsible for the facilities day-to-day operations and maintenance (such as recycling, changing light bulbs, heat problems, water problems, general repairs in the department, cube problems, distributing facility access key cards, etc.).
  • Purchasing and oversight of the facilities.
  • Coordinating department and company events including employee meetings, monthly and annual social events, etc.
  • Assisting with new hire office orientation and on-boarding tasks to facilitate effective and pleasant onboarding experience for new hires.
  • Responsible for company event planning  - AlliedFest, Quarterly Potlucks and Holiday Parties.
  • Providing support to Human Resources for new hire benefits administration and other company human capital initiatives ( such as the Wellness Team and Give Back Team).
  • Managing the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Overseeing and coordinating the maintenance of office equipment, including copier, fax machine, etc.
  • Sorting and distributing mail daily.
  • Helping maintain company organization charts and the employee directory.
  • Assisting with new employee onboarding (badges, business cards, etc.).
  • Assisting department in carrying out various research projects, programs and procedures for all company employees.
  • Working independently and within teams on special nonrecurring and ongoing projects. Acts as project manager for special projects.
  • Keeping office supplies and food stocked, ordering food and supplies as necessary.
  • Performing other related duties as required and assigned.

Work Environment


This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands


Minimal physical activity is required for this position. Some examples of physical activity involved include:

  • Lifting boxes weighing 20 lbs or less
  • Pushing a shopping cart or dolly


Position Type and Expected Hours of Work


This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m.
